◆Position summary:
The Finance & Administration is responsible for managing the finance and administration function of our company to ensure accounting, tax and regulatory compliance for the German subsidiary of our company group in Europe. Details of responsibilities are outlined below:


◆Responsibilities:
Provide and manage all accounting, tax, regulatory and administrative tasks including, but not limited to, the following.


Accounting

- Assist with the month/quarter/year-end closing processes and produce accurate financial statements to support the Finance Manager and the group’s management team make sound commercial decisions

- Help for report monthly financial results to Japan and ensure integrity of the data included in the reporting package

- Review monthly results with the Finance Manager to identify unexpected fluctuations or variations from budget and take action to optimize the financial performance of our German Branch

- Monitor aging of customer receivables, ensure appropriate level of reserves (bad debt allowance) is maintained and take action to minimize bad debt/write offs.

- Support the team with accounts receivable and accounts payable accounting

- Help preparing payments and direct debits via online banking, as well as book bank statements

- Identify developments in local accounting regulations and ensure compliance

- Liaise with external auditors to facilitate efficient and effective financial audits and ensure integrity of financial reporting

- Ensure effective internal controls are in place

- Work with accounting advisors to facilitate any of the items above as necessary


Tax

- Support the Finance Manager with managing all tax filing requirements to ensure they are completed in a timely manner

- Identify developments in local tax regulations (e.g. corporate income tax, VAT, transfer pricing, etc.) and ensure compliance

- Work with tax advisors to facilitate any of the items above as necessary


Regulatory and administration

- Identify developments in local regulations (other than accounting and tax) and ensure compliance

- Assist the Finance Manager in maintaining a work environment which is in line with our parent company's Code of Conduct and meets the local regulatory requirements

- Work with external advisors including legal advisors to facilitate any of the items above

- Manage daily administrative tasks e. g. processing of incoming mail, maintaining office supplies, etc

- Contact person for externals such as technical support for the office building, security company, leasing companies, external payroll accountant etc.

- Help with the organization of vehicle fleet (e.g. maintain existing/prepare new leasing contracts, manage tire changes / repairs)

- Assist with several external Audits e.g. EMIR (for foreign exchange deals), Grüner Punkt, BGHW, etc. 

◆Required knowledge, skills and experience:

- Excellent MS Excel skills including data analysis, usage of graphs and other tools

- Ability to identify problems, engage stakeholders and facilitate solutions

- Extensive experience with ERP and accounting systems

- Proven track record in finance, accounting or tax

- Proficiency in German


◆Preferred knowledge, skills and experience:

- Ability to train, coach and develop subordinates

- Strong business acumen, leadership, communication skills and networking skills (both internal and external)

- Professional accounting certification (e.g. certified public accountant, tax accountant, etc.)

- Proficiency in English or Japanese
